Imma ScholarLink (“we”, “us”, “our”) provides study-abroad application services through this website and its student and agency portals (together, the “Platform”). This policy explains what personal information we collect, why we collect it, and how we handle it.

Information we collect

• Account information — your name, email address and password when you register.
• Profile and application details — information you provide to support your applications, such as date of birth, nationality, passport number, contact details, education history and an optional profile photo.
• Application documents — files you upload, such as passport scans, transcripts, certificates and recommendation letters.
• Enquiries — your name, contact details and message when you use the contact form.

We do not collect information from advertising networks, and we do not run analytics trackers on this site.

How we use your information

• To prepare, submit and manage your university applications.
• To review and verify your documents.
• To notify you by email when your application status changes.
• To respond to your enquiries.
• To operate, secure and improve the Platform.

Who can see your information

Access is strictly scoped. You can see only your own information. If you were registered through a partner agency, that agency can see the applications and documents of its own students only. Imma staff can access application data in order to provide the service.

We share your information with third parties only as needed to deliver the service — for example with the universities you apply to and, where applicable, visa authorities. We never sell your personal information.

Where your information is stored

Your data is stored on cloud infrastructure in Hong Kong (Alibaba Cloud). Uploaded documents are kept in private storage that cannot be reached publicly; every download request is checked against your login.

Cookies

The Platform uses only cookies that are strictly necessary for it to work: a login session cookie after you sign in, and an interface preference cookie in the administration area. We do not use analytics, advertising or any other third-party cookies. Because no optional cookies are set, no cookie consent is required. If this ever changes, we will update this policy and ask for your consent first.

How long we keep your information

We keep your account and application records while your account is active and for as long as needed to complete services you have requested or to meet legal obligations, after which they are deleted.

Your rights

You may access and correct your profile information at any time in the portal. You may also ask us to provide a copy of, correct, or delete personal information we hold about you by contacting us using the details below. We will respond within a reasonable time.

Security

All traffic is encrypted in transit. Access to personal data is limited by role, sensitive documents are held in private storage, and administrative access is restricted to the Imma team.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Material changes will be announced on the Platform.
